Each potential client will receive a complimentary assessment and consultation lasting up to one hour. During this session, the appropriate team members will assess the client’s organizational needs and determine the most suitable consulting package to address those needs. This includes outlining the services to be provided, establishing the associated fees, and assigning the appropriate team member(s) to the job. Additionally, some telephone assistance may be offered as part of the consultation process.
Before consulting can begin, a comprehensive assessment of the sleep medicine practice is essential to identify strengths, weaknesses, and opportunities for improvement. This assessment typically covers the following key areas:
- PRACTICE STRUCTURE: Does the practice focus on in-lab sleep studies, home sleep testing (HST), or both? Is there an integrated Durable Medical Equipment (DME) component?
- PATIENT SCHEDULING: Is scheduling patient appointments optimized for maximum efficiency? Are there bottlenecks in the intake, testing, or follow-up processes?
- STAFFING ANALYSIS: Is staff trained in the latest guidelines, patient education, and compliance tracking? Are there issues with staff turnover, training, or workflow inefficiencies?
- REVENUE REVIEW: What percentage of revenue comes from different service lines (e.g., diagnostics vs. treatment vs. DME sales)? How efficient is billing and coding? Are there high denial rates?
- INSURANCE COMPLIANCE: Are sleep studies and CPAP prescriptions meeting insurance preauthorization and documentation requirements? Is there a history of denied claims, audits, or compliance violations?
- REGULATORY COMPLIANCE: Is the practice in compliance with HIPAA, OSHA, and FDA regulations for sleep medicine? If operating a DME, is it compliant with Medicare supplier standards?
- MARKETING ANALYSIS: Is there a strong referral network with primary care physicians, pulmonologists, cardiologists, and ENTs? How effective are digital marketing efforts (website, SEO, social media, patient reviews)?
After the full assessment of the organizational needs, the team members will meet to determine a tailored and client-specific consulting package to meet their needs. The proposal submitted will include a detailed description of the services that will be provided, a detailed estimate of fees and costs involved, and the assignment of appropriate team member(s) to the client’s consulting project.
